• Verification Metadata: We record the document type, number, and expiry of identity documents to satisfy the July 1, 2026 AML/CTF (Tranche 2) reforms.
• Corporate & Trust Data: Details regarding beneficial owners and controlling persons of corporate or trust entities.
• Financial Data: Evidence regarding your source of funds and source of wealth (such as bank statements or loan approvals) where Enhanced Customer Due Diligence is legally required.

3. Data Storage & Security We retain your personal information electronically through the service providers that we utilise. This data is stored locally within Australia, as well as by service providers located overseas, specifically in the United States.

We take reasonable steps to ensure the protection of your personal information against any unauthorised use, including:

• company security standards, policies and procedures;
• ensuring our data storage providers comply with appropriate security standards;
• password-controlled access to databases, including Multi-Factor Authentication (MFA) wherever possible;
• contractually obligating employees and associated parties to protect personal information and adhere to security standards, policies and procedures; and
• taking reasonable measures to de-identify or securely destroy personal information that is no longer needed.

4. Managing Your Contact Preferences If you have recently engaged our services, submitted an enquiry, or attended an open home, we may use your details to communicate with you regarding relevant properties or services. You can easily manage your communication preferences at any time:

• SMS Opt-Out: Reply "STOP" or "UNSUBSCRIBE" to any SMS for immediate removal from broadcast lists.

• Legal Retention: If you have been a party to a formal property transaction, we are legally required to retain your file for 7 years for regulatory compliance. Your record will be flagged as "Do Not Contact" for marketing purposes, but archived securely.

• Verification and Compliance Providers: We may disclose your identity data to third-party electronic verification services (such as First AML) and credit reporting bodies solely for the purpose of matching your details against official records to satisfy our AML/CTF obligations.
• Legislative Bodies: We are required by law to disclose information to bodies such as AUSTRAC or the Queensland Office of Fair Trading where mandated.
• Overseas Disclosures: As noted above, we utilize secure, cloud-based infrastructure and third-party tools that may result in your personal information being stored or processed by service providers located in the United States. We take reasonable steps to ensure these providers comply with the Australian Privacy Principles.
• No Marketing Disclosure: We never sell, trade, or disclose your personal information to third-party marketing entities.

6. Notifiable Data Breaches (NDB) In the event of a data breach, we have a response plan to assess the situation and notify the Office of the Australian Information Commissioner (OAIC) and affected individuals as required under the NDB scheme.
